Entering start/stop time


Your company setup may allow you to make start/stop entries for your time card. This feature works just like paper time cards where you indicate the exact clock times that you worked on each day.

The frequency of your start/stop time entries may depend on your company policy or your own preferences. For example, you may make an entry each time during the day when you start or stop work. Or, you may manually record your start and stop times on paper, then at the end of the period record them in e-timecard before you submit your time card.

First, go to your time card and enter labor data including jobs, pay codes, and hours. Next, follow these instructions to make start/stop time entries.

To enter start and stop times

  1. From the Edit Time Card screen, click Start/Stop Time. The Enter Start/Stop Time screen appears, showing each of the days from your time card in the Time Card Dates column and the number of working hours for those dates in the Hours column. "Working hours" does not include hours charged to vacation, sick, or holiday codes.

    Follow steps 2 through 6 for each day where you want to enter start/stop times.

  2. Enter the start time and stop time. Find out the requirements that your entries must meet.

  3. Select a reason code for clocking out from the dropdown list. Your company setup determines whether this step is required or optional. If it is required and you click Calculate or OK without selecting a code, e-timecard will prompt you.

  4. If "(explain)" appears to the right of the reason code that you selected, then you must type specific details about why you clocked out in the adjacent field. Otherwise, the explanation is optional.

  5. If you want to create another start/stop entry for the same day, click Add to the left of the day. e-timecard inserts a new line for the day under your last entry. Repeat steps 2 through 4 to create a start/stop entry for this line.

    Hint:
    To delete the last start/stop entry for a day, you can click Delete to the right of the day. If you are deleting an additional start/stop entry for a day, e-timecard removes the line and all of its data. If you delete the first start/stop entry for a day, e-timecard clears the data and leaves the line blank so that you can create a new start/stop entry for the day if you wish.

  6. Click Calculate. In the Diff column, e-timecard updates the difference between the time card hours and the start/stop entries for the day; if the value is negative, then you have more hours recorded on your time card than in start/stop entries. In the Clock Hours column, you can see the totals of your start/stop entries for each line.

    If on any line you entered a start time but not a stop time, then e-timecard does not include totals for that line in either the Diff or Clock Hours columns.

  7. When you are finished entering start/stop times, click OK to apply your entries and return to the Time Card screen.

    Caution:
    If you are making start/stop entries on a submitted time card, clicking OK resets the time card’s status to Open, even if you have not saved from the main Edit Time Card screen. This means that you will have to resubmit the time card.

  8. You must click Save on the Edit Time Card screen in order to commit your start/stop entries to the database.

    If you changed any existing start/stop entry or reason code in the previous steps, then your company’s setup may require you to supply a change reason code when you save on the Edit Time Card screen.   9. When you are finished making both regular time card entries and start/stop entries for the period, click Submit Time Card.

    If any of your start/stop entry totals are less than the time card hours for the day, then the Confirm Time Card Errors screen appears when you try to submit. You can click Continue to leave the start/stop entries as they are and proceed with the submit, or click Cancel to cancel submitting and go back to the time card. If you click Cancel, click Start/Stop Time to correct the entries, then click Submit Time Card again.
