When employees are not in the office and have not submitted time cards in advance for their absence, you as their approver have the option of creating time cards for them. Refer to your company policy regarding creating time cards for other employees.
To create time cards for absent employees
Follow the steps for retrieving a list of time cards that have not been created.
From the Approval Not Created screen, do one of the following, depending on whether you want to create one time card or multiple time cards.
One time card: Click Create to the left of the time card that you want to create.
Multiple time cards: Click the check box to the left of each time card that you want to create, then click Create Selected.
If the Copy Previous Time Card screen appears with jobs from the employee's previous, submitted time card, click the check box for each job that you want to copy to the new time card, or click the top check box to select all jobs. Click Continue.
What happens next depends on whether you selected to create one time card or multiple time cards.
One time card: The Edit Time Card screen appears with either a blank time card or a time card with copied jobs for the employee and period that you selected.
Multiple time cards: The Edit Time Card screen appears with either a blank time card or a time card with copied jobs for the first listed employee/period among those that you selected.
The order in which the time cards appear depends on how you sorted the list on the Approval Not Created screen. At any time, you can select a different time card from the Select a time card period dropdown list to move among the time cards that you selected to create.
Enter labor data for the employee.
Save the time card. The employee can now submit the time card for approval just like any other time card.
Note: If your company allows approval of open time cards, you can approve the time card after you finish creating it, even though the employee has not submitted it.
Once you have created the employee time card, you can do one of the following, depending on whether you selected to create one time card or multiple time cards.
One time card: Select the option that you desire under Time Card > Approval View at the upper-left of the screen.
Multiple time cards: Select the next time card that you want to create from the Select a time card period dropdown list.
