By correcting an archived time card, we mean any changes. This can include changing existing entries or adding new data such as an additional job line.
Caution: When you make an archived time card editable then save it, e-timecard automatically resets the time card status to Open, invalidating all approvals and requiring you to resubmit. Make sure that you do not click Save unless you are certain that you want to commit your changes. If you do change your mind, you can click Undo Amend to roll back all changes that you have made to the time card since it was last archived. This button does not appear until after you click Save.
Follow these instructions to correct an archived time card.
To correct an archived time card
From any time card view, select Archived time cards from the Select a time card period dropdown list. The Look Up Date(s) screen appears.
Enter a time card period start date or a range of start dates as search criteria, or leave the default of the earliest date in the system to retrieve all archived time cards that you have access to. You can enter dates manually or click to the right of either date field to select a date from a calendar.
Click Search to retrieve archived time cards that match the criteria you entered. The search results appear in the bottom section of the screen, which includes a count of the number of records found.
If necessary, scroll to find the archived time card that you are looking for.
When you find the archived time card that you are looking for, click Select to the left of it. e-timecard displays the time card that you selected on the View Time Card screen.
Hint: For the rest of this e-timecard session, the archived time card that you selected appears with the other time cards in the Select a time card period dropdown list. You do not have to perform the above steps to search for it again.
Click the Edit Time Card tab. The following message appears: "Changing an Archived time card will invalidate all approvals and require you to resubmit."
Click on the field that you want to change. Then highlight the entry and type the new value, or select a different option from the dropdown list.
Add new information to the time card, such as additional job lines, as needed. Follow the steps for entering labor data.
Make any other changes to the time card by repeating step 7 and/or step 8.
When you are finished correcting the time card, click Save.
Depending on your administrator's settings, the Explain Changes screen may appear, listing all changes that you have made to this time card since opening it or last saving it. If this screen doesn’t appear, skip to step 15.
Select the appropriate reason code from the dropdown list.
If "(explain)" appears to the right of the reason code that you selected, then you must type specific details about the change in the Explanation field. Otherwise, the explanation is optional.
If you made more than one change on the time card, repeat steps 11 and 12 to select reason codes/enter explanations for each change.
Hint: You can apply the same reason code/explanation to multiple time card changes. Click the check box for each time card change row that you want to apply the same reason code/explanation to, or click the check box above the rows to select all time card changes on the screen. Select the reason code and type the explanation in the Multiple Changes section, then click Apply.
Click Continue. e-timecard saves your time card changes and your reasons/explanations.
You must resubmit the time card once you’ve made all changes.
Note: Once you save changes to an archived time card, you can select it directly from the Select a time card period dropdown list, without using the Archived time cards option, until your administrator exports it to payroll again. After the export, it is then available only by selecting Archived time cards from the Select a time card period dropdown list.
