Do you want group timekeepers to enter total hours or daily hours?
You have two options for how you want group timekeepers to enter hours in time card mass entry.
If you click the check box Enter Total Hours in Mass Entry, then a group timekeeper entering another employee’s hours can only enter total hours for a particular job for that week. The group timekeeper cannot enter daily hours.
If you leave the Enter Total Hours in Mass Entry check box turned off, then group timekeepers can enter daily hours, just like employees do.
If you want to let employees modify time cards that group timekeepers have already created, and if you want to let group timekeepers modify time cards that employees have already created, do not check the Enter Total Hours in Mass Entry box. If you require group timekeepers to enter total hours, then they will not be able to open time cards created by employees, and employees will not be able to open time cards created by group timekeepers.
Even if you do not check Enter Total Hours in Mass Entry, you can indicate on the Parameter Setup screen that you don’t want employees and group timekeepers to modify time cards opened by the other.
Your setting for Enter Total Hours in Mass Entry also affects how the program checks the employee’s rehire date to determine whether the group timekeeper can enter hours for the employee. Here’s how it works:
If you select Enter Total Hours in Mass Entry, e-timecard compares the employee’s rehire date to the time card period end date. As long as the rehire date is the same as or before the time card end date, the program does not generate an error.
If you do not select Enter Total Hours in Mass Entry, e-timecard compares the employee’s rehire date to each day on the time card. The program does not generate an error for a daily entry as long as the rehire date is the same as or before the date of the entry.
Example
An employee’s rehire date is August 8, and a time card period runs from August 6 through August 12. If the group timekeeper must enter total hours, then s/he can enter hours for the time card period, because its end date falls after the rehire date. If the group timekeeper must enter daily hours, then s/he can enter hours only on August 8 through 12 for that period.
