As an approver, you can use e-timecard to quickly email employees who you are authorized to approve. You may want to alert employees that they have to submit their time cards in order to make payroll. Or, perhaps you need to email the employees to remind them to create their time cards for the period.
Note: To use e-timecard to send emails to employees, your administrator must have entered valid email addresses for them in their employee profiles.
When you email multiple employees at the same time, each employee's email address appears in the Bcc field for one message. If you want to send different messages to multiple employees, complete the steps that follow for each separate message that you want to send.
To email employees who you are authorized to approve
Do one of the following to create a list of employees who you can email.
Access the Approval View screen to see time cards pending your approval. If desired, filter the list of time cards by selecting specific statuses or a specific time card schedule.
Access Approval View > View Not Created and follow the steps for retrieving a list of time cards that have not been created.
Click the check box to the left of each time card belonging to an employee who you want to email.
Click Email Selected. Your computer's email application opens an email window that includes your own address in the To field and the addresses of the employees who you selected in the Bcc field. In the Subject field, "Please submit your time card" or "Missing time card" defaults, depending on which screen you clicked Email Selected from, but in either case you can change the subject.
Follow your normal procedure for sending email.
