Setting up the Expandable interface


e-timecard has an output option to handle overtime and holiday rules that are unique to Singapore. The interface program creates the output in a format that you can import into the Expandable accounting system.

You can also use the Expandable interface for your United States employees.

The process of entering and approving time cards is the same for the Expandable interface as it is for standard exports. Follow these steps to set up and run the Expandable interface.

To set up the Expandable interface

  1. From the top of any JAMIS Administration screen, click Application Setup > Parameter Setup. The Parameter Setup screen appears.

  2. Click the Expandable Interfaces tab.

  3. In the Premium account number for Expandable interface field, enter the account number to use for premium hours.

  4. In the General department labor account number for Expandable interface field, enter the account number to use for general hours.

  5. The Location for premium hours rules defaults to None. To use the Expandable interface, select United States or Singapore.

  6. In the Holidays on Saturdays field, enter the dates of all Saturdays that are holidays, with each date separated by a comma. For example: 11/26/11,12/24/11

    This field accommodates the following scenario. When a Saturday is a holiday, employees don’t charge holiday hours on their time cards, and they don’t get paid for the holiday if they do not work. If, however, an employee works on that Saturday, s/he gets paid more than s/he would if s/he works on a non-holiday Saturday.

  7. Click Save.

  8. From the top of any JAMIS Administration screen, click Master Files > Employees. The Employee Details screen appears.

  9. Make sure that the Employee Type field is set to an employee type that has the Status field set to Non-Exempt. This tells e-timecard that the employee is subject to overtime rules and that it should create total file records during the Expandable interface.

  10. Click the e-timecard Data tab.

  11. Make entries in the following fields that the Expandable interface program uses for calculations, then click Save.

To run the Expandable interface

  1. From the top of any JAMIS Administration screen, click Interfaces > Export Time Cards. The Export/Archive Time Card Data screen appears. Follow the steps for running a standard export. You must do this before you can run the Expandable interface.

    The standard export creates an ASCII output file so that it can move the time cards to the archive tables. The program that creates the Expandable import reads from the archive tables.

  2. From the top of any JAMIS Administration screen, click Interfaces > Expandable Interface. The Create ASCII File for Expandable System screen appears.

  3. Enter a time card period start date to select the time card period that you wish to export. You can enter the date manually, or you can click html/calendar_arrow.gif to the right of the date field to select a date from a calendar.

  4. In the Location field, the path to the ASCII file defaults from the Output Location of Interface File field on the e-timecard Initialization screen, Interface Options tab. You can change the path for this export if you wish.

  5. Click OK to run the export. Once the export is finished, the following message appears at the top of the screen.

    The system has successfully generated the ASCII file for the Expandable interface. (AD0411)

For those employees who need to have their hours prorated, the program prorates the hours prior to using the Expandable interface rules. e-timecard determines which employees are subject to the proration by the Calculate Prorated Hours field on the e-timecard Initialization screen as well as the Calculate Prorated Hours During Export/Archive field on the Employee Types screen.

Note: The Expandable export does not include amended time cards.
